Dear Exhibitor:

As superintendent of the Merchant's Area, I would like to invite you to have a booth at the 2010 Morgan County Fair, which will be held Friday, July 30 through Saturday, August 7.

Spaces inside the building will be $150.00 for the first 10' by 10' space.   A space 20' by 10' will be $300.00.  Each additional 10' in width will cost an additional $150.00.

Outside spaces are $150.00 for the first 10' by approximately 40' space. An outside space approximately 20' by 40' will cost $300.00.  Each additional 10' in width will cost additional $150.00.  The outside booths will be on the grass on either side of the Merchant Building fronting the blacktop.

Those exhibitors returning for another year will be able to secure their same space if they desire up until May 1. After May 1, all remaining spaces will be open to everyone. We will not hold spaces without payment and certificates of liability.

The Merchant Building is a 400' long, open-sided pole barn type building with four rows of booth space. A backdrop will be placed in the middle of the building to divide the center booths. There will be a cross walk in the building at approximately the halfway point.

There will be side curtains on the building for security and weather protection but exhibitors are encouraged to have a piece of waterproof material to cover their displays for additional protection in case of rain. If you are on the outside wall of the building, it is your responsibility to help drop the curtain each night at closing and in case of inclement weather.

Space rental does not include tables, chairs, or building materials. No Fairgrounds personnel or fairgrounds equipment will be available to help set up any of the booths. If extra help is needed for set up, it must be provided by the company and/or individual renting the booth space. You are reminded that you are restricted to your space only. Please do not encroach upon the space next to yours and do not put anything in the aisles or block the aisles at anytime.

It would be greatly appreciated if you would bring a broom and small waste basket to help keep your area clean. Large trash barrels are to be emptied each morning but it is difficult to police the entire area.

If any exhibitor will be receiving merchandise via United Parcel Service or any other delivery service, he or she will be responsible for receiving and paying for it. THERE WILL BE NO DELIVERIES, C.O.D. OR OTHERWISE, ACCEPTED AT THE FAIR OFFICE.

No person shall be permitted to bring onto any part of the Morgan County Fairgrounds during the operation of the Morgan County Fair any animal, bird or reptile unless it is for the purpose of entering said animal, bird or reptile in a competition or show sanctioned by the Fair.  Persons violating this rule will be requested to leave.  Only licensed service animals are permitted.

No roving vendor or solicitor action from either a profit or non-profit organization or on his own behalf shall be permitted on the fairgrounds or parking lots.  All solicitations for either contributions or sale must be made from within the confines of a booth or display area as authorized by a duly executed contract.

As in the past, we will present two plaques: one for the best commercial exhibit and one for best noncommercial exhibit. Last year we had over 135 individual booths.

The following is a copy of the contract for space. Please read, complete, sign, and return it to us with your check made payable to the Morgan County Fair, P. O. Box 1534, Martinsville, IN 46151. We will send confirmations as time allows. There will be a $25.00 fee for any check returned for insufficient funds. The week prior to the fair only cash will be accepted for booth rental space.

PLEASE READ THIS CONTRACT CAREFULLY, PRINT ALL, AND SIGN ON THE SECOND PAGE.

  1. A certificate of insurance must be provided by each exhibitor as proof of liability insurance. The Morgan County Fair and 4-H Association shall not be held liable to any exhibitor or any of his employees for any damage done to or sustained by an exhibitor, his exhibit, his employees, or anyone who comes in contact with the exhibit.
  1. Set up must be completed by 6:00 p.m. on Saturday, July 31, 2010. The building will be open to the public at 6:00 p.m.
  1. The Merchant Building will open each day at 12:00 noon and close each evening at 10:00 p.m. We do not require that your booth be manned at all times but it must be manned in the evenings when the crowd is on the grounds.
  1. In case of severe weather, the superintendent, Ed Lynn, will announce the closing time. If your booth is on the outside wall, you will be expected to assist in lowering the curtains each evening at closing time and in the case of inclement weather.
  1. The building will close at 8:00 p.m. on the final night of the Fair, Saturday, August 7.
  1. The Fair Board will not be responsible for any items left after the building is closed on the final night of the fair at 8:00 p.m. as security will cease at that time.
  1. Security will be on the grounds from Saturday, July 31 through Saturday, August 7. Every effort will be made to protect your display; however, ultimately, exhibitors shall be responsible for the security of any and all items in their respective displays.
  1. No subletting will be allowed. Spaces cannot be shared by two or more exhibitors because of insurance restrictions. No walking concessions will be allowed.
  1. All positive battery terminals must be disconnected. No gasoline, acetylene, inflammable oils, or explosives will be allowed, under any circumstances, in the exhibit. All gasoline operated equipment such as mowers, weed eaters, chain saws, etc. must be empty and have the caps taped down as per the State Fire Marshal.
  1. All helium tanks must be secured as to prevent falling.
  1. No loud speakers, loud speaking devices or undue noises will be allowed.
  1. No sale of concession type food or drinks shall be allowed. You may give away free samples or sell bake-sale type items. Booths may not sell bottled water, sports drinks, fruit juices, or carbonated drinks.  All solicitations for either contributions or sale must be made from within the confines of a booth or display area as authorized by a duly executed contract.
  1. No suggestive or obscene material will be allowed.  No Items may be exhibited or sold that shoot a projectile or that can be misconstrued as a weapon. The superintendent has the right to ask that offensive items be removed from a display.
  1. Aisles must be open (free of display material and booth personnel) at all times. All materials pertaining to your booth including banners must be within your booth space. You are asked to keep your booth space clean and free of debris. Trash containers are provided within the building.
  1. All tents, awnings, tarpaulins, canopies, sidewalls, floor coverings, etc., used must be flame resistant in accordance with the Indiana fire code. The state fire inspector may request proof of flame resistance.
  1. NO SMOKING IS allowed inside the Merchants Building. NO ALCOHOLIC BEVERAGES ARE ALLOWED ON THE FAIRGROUNDS AT ANY TIME.
  1. No animals, birds, or reptiles, large or small, are allowed in any rented space during the fair.
  1. No Fairgrounds personnel or fairgrounds equipment will be used to set up any of the booths or displays.
  1. Exhibitors wishing to stay overnight must camp in the Camping Area only. The fee is $125.00 for the week of the fair. Reservations and payment must be made with this contract. NO EXCEPTIONS! CAMPING SPACE IS VERY LIMITED! Only one vehicle may be parked with the camper.
  1. Two exhibitor parking passes for the week will be given for each 10' of frontage space (Limit 6).
  1. The Fair Management reserves the right to change the foregoing rules and regulations at any time they deem expedient.
  1. The Morgan County Fair & 4-H Association assumes no liability for loss in any manner.

ANY FAILURE TO COMPLY WITH THESE RULES CANCELS THE CONTRACT AND ALL PAYMENTS ON SAID CONTRACT WILL BE FORFEITED TO THE FAIR BOARD.

Please sign and return one copy of this contract along with your check, and certificate of insurance. No space will be held without payment. We will send confirmations providing time permits.
